For event producers & production managers

Production. Without spreadsheets. Event, vendors, schedule and approvals - actually in one place.

An event producer typically manages 5-15 vendors per event - venue, photographer, video, DJ, catering, design, lighting, transport. Hitbook lets you see every vendor on one screen, with task status, approvals, contracts, payments and one timeline that is synced with the client in ProductionBook.

Vendor map

One view of every vendor on an event - contract status, payments, open tasks, who signed, who did not. No more flipping between chats.

Unified timeline

Event day on one timeline integrated from every vendor: photographer scout at sunrise, catering arrives at 14:00, chuppah at 19:30, dancing at 22:00. Everyone sees, everyone synced.

Approvals & tasks

Tasks per vendor, deadline, check-in. Alerts when something slips - before it becomes event-day panic.

Three-way contract

Contract between producer ↔ couple ↔ vendor. Everyone signs online. Clear who pays whom, when, how. No more "whose responsibility was that".

BEO & event orders

If the event is at a venue - BEO is auto-synced from the event data. Menu, staff, dishes, kitchen notes. One organized sheet.

Live incidents

Event day - internal chat between vendors, push notifications when something changes last minute, a log that updates in real time.

Part of one system - Powered by Hitbook Inc.

ProductionBook is the side facing your clients. Your vendors work in Hitbook Studio - a full business management system. Same backend, same data, two ends of the same process. Read more about the sync

Frequently asked questions

How is this different from Trello / Notion / Asana?

Those are generic project management. Hitbook is purpose-built for events: BEO, three-way contracts, digital signatures, sync with the client (the couple) in ProductionBook and with your vendors in their Hitbook Studio. Real integration, not just tasks.

My vendor is not on Hitbook. Can I still use it?

Yes. Add them as an external vendor (contact info, manual contract, payment log). They will not get a project in Hitbook Studio, but on your side they will appear in the vendor map and timeline.

Does the couple see everything too?

The couple sees in ProductionBook only what is relevant to them: vendor list, statuses, payments, approvals. They do not see your internal vendor chat, internal costs or operational notes.

I produce corporate events, not weddings. Is this relevant?

Yes - Hitbook is built for every kind of private and corporate event. Conferences, launches, client events, milestone birthdays, bar/bat mitzvah. Anything that requires syncing multiple vendors.

How much does it cost?

Free signup. Pro at 59.99 ILS/month unlocks unlimited project and team management. Platform fee ($30 per event) only on digital signatures inside the system.

Is there a Google Calendar integration?

Full sync on Pro: event schedule, tours, meetings with couples and vendors - all synced to Google Calendar / iCal.
